Clerk to governing board

Following consultation in July 2019 we have revised the generic job description for clerks on EGfL and developed two new role profiles which have been graded by Schools HR at scale 6 and scale 8.

We have also amended the payroll guidance to reflect changes to the role over the past few years.

Broadly speaking the scale 6 job description is aimed at GBs who are recruiting or have in place a clerk who provides full administrative support but may be new to role or does not carry out the full range of clerking duties.

The scale 8 job description is for clerks who provide a full professional service in all aspects including advice, guidance and support on legal, compliance and membership matters.

Reminder from HR

Please note clerks on ‘as and when’ contracts are liable for paid annual leave (pro rata). For more information on this please contact your HR provider.

You can use the job descriptions in their entirety or adapt them to local needs. However should you adapt them they will need to be submitted to the schools HR team or your own HR provider for evaluation.

The job descriptions have been written for ‘as and when’ contracts – clerks who are paid on timesheet basis (employed by the school). If you employ your clerk on a fees basis then you may use these job descriptions to guide any agreement about work carried out within the contract for services. Appropriate checks should have been carried out regarding payment and employment of your clerks. If you are unsure or have any queries on this please contact your HR provider.

Next steps

There is no requirement to make any changes to existing clerks’ job descriptions. However, if they have not been reviewed for some time we recommend that you use this as an opportunity to review the role with your clerk using the new job descriptions as appropriate. Any changes will need to be notified to your HR provider.
